Terms of Service

These Terms of Service govern your access to and use of the FieldFlow platform, including the booking portal, tracking pages, professional console and enterprise workspace.

1. The service we provide

FieldFlow operates a nationwide marketplace that connects customers with independent, credentialed field professionals — including mobile phlebotomists, specimen collectors and commissioned notaries public.

FieldFlow is a technology and coordination platform. We are not a clinical laboratory, medical practice, law firm or title company, and we do not provide medical advice, diagnosis, treatment or legal advice.

2. Eligibility and accounts

You must be at least 18 years old and legally able to enter into contracts to book a service or create an account. You are responsible for the accuracy of the information you provide and for all activity under your account credentials.

Services booked for a minor or a dependent adult must be booked by a parent, legal guardian or authorized representative who is present at the appointment.

3. Bookings, scheduling and access

A booking is confirmed only after payment is authorized and a qualified professional accepts the assignment. Scheduling windows are estimates; traffic, weather and clinical conditions can shift arrival times.

You must provide safe, lawful access to the service address and ensure the person receiving service is present with valid government-issued photo identification where identity verification is required.

4. Independent professionals

Professionals on the platform are independent contractors, not employees or agents of FieldFlow. They are solely responsible for maintaining their own certifications, licenses, notary commissions, insurance and compliance with the laws of the state in which they operate.

FieldFlow screens credentials at onboarding and monitors expirations, but does not supervise the clinical or notarial judgment of any professional.

5. Fees, taxes and payment

Prices shown at checkout include the service fee, any travel fee based on distance, applicable add-ons, bundle discounts and sales tax where required. Payment is processed by Stripe; FieldFlow does not store full card numbers.

Multi-service (“Book Everything”) orders are charged as a single authorization and may be fulfilled by more than one professional.

6. Cancellations and refunds

Cancellations, reschedules, no-shows and refunds are governed by the Refund & Cancellation Policy, which is incorporated into these Terms by reference.

7. Acceptable use

You agree not to:

  • Misrepresent your identity or the identity of any person receiving service.
  • Request any service that is unlawful, fraudulent or intended to deceive a third party.
  • Harass, threaten, discriminate against or endanger a professional.
  • Attempt to circumvent the platform to transact off-marketplace with a professional introduced by FieldFlow.
  • Probe, scrape, reverse engineer or interfere with the platform or its security controls.

8. Notarial services

Notaries on the platform act under their own commission and applicable state law. A notary must refuse any act that is incomplete, coerced, or where the signer cannot be positively identified or does not appear to understand the document. Refusal on those grounds is not a service failure.

9. Disclaimers

The platform is provided “as is” and “as available.” To the fullest extent permitted by law, FieldFlow disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement.

Laboratory results, chain-of-custody outcomes and document acceptance by third parties are outside our control.

10. Limitation of liability

To the fullest extent permitted by law, FieldFlow's total aggregate liability arising out of or relating to the platform or any booking is limited to the amount you paid for the booking giving rise to the claim. FieldFlow is not liable for indirect, incidental, special, consequential or punitive damages.

11. Dispute resolution

Most issues are resolved fastest through support. If a dispute cannot be resolved informally within 30 days, it will be resolved by binding individual arbitration, and you and FieldFlow each waive the right to participate in a class action, except where prohibited by law. You may opt out of arbitration within 30 days of first accepting these Terms by writing to recruiting@fieldflowlab.com.

12. Changes and contact

We may update these Terms. Material changes are announced in-app and take effect on the stated effective date; continued use constitutes acceptance of the updated version.
